How to create an invoice
- Add the business and client details you want to include. Every invoice field is optional.
- Your invoice number and dates are filled in. Open Invoice settings to change them or choose USD, CAD, GBP, EUR or AUD.
- Enter the items, quantities and prices. Add a percentage discount and any applicable tax.
- Watch the full invoice update as you type, including your logo, notes and payment instructions. Choose “Download + add card or ACH” to request a payment link, or “Download invoice only” for the PDF.
- Enter your email in the short form and your PDF downloads automatically. Name, company and phone are optional. Payment setup follows separately with our team.
Invoice example with tax
A consultant bills 2.5 hours at $125 per hour, plus $40 in supplies. The subtotal is $352.50. At an entered tax rate of 8%, tax is $28.20 and the invoice total is $380.70. With a 10% discount applied before tax, the total is $342.63. This is a worked example, not a tax-rate recommendation.
What to include on an invoice
- Your business name and contact details, and your client’s name and billing details
- A unique invoice number, the issue date and the payment due date
- A description of each product or service, with quantity, rate and line amount
- Subtotal, any discount, applicable tax and the total due, in a stated currency
- How to pay: a payment link, bank details or other instructions

Your invoice is available before payment setup is complete. Submitting a request does not activate payment processing or create a merchant account.

Is the invoice generator free?
Yes. Creating and downloading a PDF invoice is free. There is no watermark, account or paid subscription. We ask for your email before your first download in this tab; name, company and phone are optional.
Can clients pay by card or ACH?
Choose “Get my payment link” to request card or ACH setup from Swipesum. You can open the form without creating an invoice. Availability depends on your business and onboarding. You can also add an existing HTTPS payment link to an invoice.
Do I have to set up payments to get my invoice?
No. Your PDF downloads as soon as the form is submitted, even if payment setup is not complete. You can also choose the invoice-only path.
Can I edit the invoice later?
Yes. Keep this tab open, edit any field and download a fresh PDF. Your draft is saved in this tab, so you can also refresh the page. This generator does not track sent invoices, payment status or outstanding balances.
Where are my invoice details stored?
The invoice draft stays in your browser. The form sends your contact details, request type, invoice total and currency, and campaign source to Swipesum. It does not send your client’s details, line items, notes or payment instructions. Optional remembered business details stay on your device.
